Member Agreement
- General (applies to all categories of membership)
- You confirm that you have read the Police Pensioners’ Association of Ontario Privacy Code, PPAO Privacy policy, and PPAO Private Member’s Forum Terms of Service (below), and you are (or the surviving spouse of) a retired sworn or civilian police member.
- Further to this, you agree to the use of “cookies” while accessing the member portal.
- Our website address is: https://membership.ppao.ca.
- You further agree that the Police Pensioners’ Association of Ontario (PPAO) and/or our service provider(s) may collect information for use to maintain your membership and allow communication between you, the member, and the PPAO.
- In the case where your membership has lapsed for failing to comply with the terms of Affiliate or Individual membership, your membership with the PPAO, including your access to the Member’s Only section of the PPAO Website, and any PPAO sponsored member benefits and programs, may be suspended until such time as you have reactivated your membership.
- Affiliated Membership – are retirees from a Law Enforcement (LE) agency having a(n) (in)formal LE retiree association or group recognized by the PPAO. This includes the spouse or surviving spouse of a retiree belonging to the said retiree group, which includes:

- As an applicant for Affiliate Membership, you agree that:
- the PPAO and/or our service provider(s) may contact your affiliate member association or group to confirm that you are a retired employee, civilian or sworn, of a LE agency in the Province of Ontario and that you are a member in good standing of an affiliate member association or group.
- As a qualified member of an affiliated group, you understand that your yearly dues to the PPAO are covered by the affiliated group, however, if your standing with the said affiliate group lapses or is suspended, then your eligibility or status as a PPAO member may also be affected.
- In order to determine your continued eligibility for membership with the PPAO, we and/or our service provider(s) may from time to time, share your information with the executive or most responsible member or officer of that affiliated association or group, for the purpose of validating your continued good standing with the said affiliate group.
- If you choose to NOT to be a part of an existing affiliated group associated to the LE Agency you retired from, you are responsible for the annual membership dues payable to the PPAO, and you will be considered as an Individual, Non-Affiliated Member.
- Individual Non-Affiliated Membership – are retirees from a Law Enforcement (LE) agency NOT having a(n) (in)formal LE retiree association or group recognized by the PPAO and may also include the surviving spouse of someone holding individual membership with the PPAO, or a person granted honorary membership status in the PPAO.
- As an applicant for Individual Membership, you agree that:
- the Police Pensioners’ Association of Ontario (PPAO) and/or our service provider(s) may collect information for use to validate your eligibility for membership.
- the LE Agency from which you (or your deceased spouse) retired from, may be contacted, and provide the PPAO information sufficient to confirm that you (or your deceased spouse) are a retired employee, civilian or sworn, of that police service.
- You are personally responsible for payment of yearly dues to the PPAO.
- Should, after joining as an Individual Member, the LE Agency you (or your deceased spouse) retired from, form an association or group, which is recognized by the Police Pensioners Association of Ontario as an affiliate, you agree that:
- If you choose NOT to join or be a part of the affiliated group, you are responsible for the annual membership dues payable to the PPAO and will continue as an Individual Non-Affiliated Member.
- Should you join the new affiliated group, you will be converted to an Affiliate Member and the terms as listed in section, Affiliated Membership, will apply
- In order to be an applicant for Honorary Individual Membership:
- you must have been first nominated by a member of the PPAO or by the PPAO Board and accepted by resolution of the Board.
- You agree to all terms and conditions that govern any member of the PPAO
- Your membership can be revoked at any time by the Board of the PPAO at their sole discretion without appeal.
PPAO Privacy Code – What personal data we collect and why we collect it
For the Protection of Personal Information
It is the policy of the Police Pensioners Association of Ontario (PPAO) to respect and safeguard the privacy of our members. While the PPAO does not engage in activities of a commercial character, we are committed to protecting the privacy and confidentiality of personal information in a manner consistent with the following Principles.
Principle 1 – Accountability
An Association is responsible for personal information under its control and shall designate a Director or Directors as Privacy Compliance Officers who are accountable for the Association’s compliance with the following principles.
Principle 2 – Identifying Purposes
The purposes for which personal information is collected shall be identified by the Association at or before the time the information is collected.
Principle 3 – Consent
The knowledge and consent of the member are required for the collection, use, or disclosure of personal information, except where inappropriate.
Principle 4 – Limiting Collection
The collection of personal information shall be limited to that which is necessary for the purposes identified by the Association. Information shall be collected by fair and lawful means.
Principle 5 – Limiting Use, Disclosure, And Retention
Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. Personal information shall be retained only as long as necessary for the fulfillment of those purposes.
Principle 6 – Accuracy
Personal information shall be as accurate, complete, and up to date as is necessary for the purposes for which it is to be used.
Principle 7 – Safeguards
Personal information shall be protected by security safeguards appropriate to the sensitivity of the information.
Principle 8 – Openness
An Association shall make readily available to members specific information about its policies and practices relating to the management of personal information.
Principle 9 – Individual Access
Upon request, a member shall be informed of the existence, use, and disclosure of his or her personal information and shall be given access to that information. A member shall be able to challenge the accuracy and completeness of the information and have it amended as appropriate.
Principle 10 – Challenging Compliance
A member shall be able to address a challenge concerning compliance with the above principles to the Privacy Compliance Officer. These Principles apply to Police Pensioners Association of Ontario not only as an organization but also to each individual member, prospective, or past member as a condition of membership or association with the Police Pensioners Association of Ontario, with respect to the Personal Information of other members.
PPAO Privacy Policy
Policy for the Collection, Use and Disclosure of Personal Information
- The Police Pensioners Association of Ontario (PPAO) – PRIVACY CODE
- The Police Pensioners Association of Ontario (PPAO) adheres to and abides by the principles set out in the PPAO – Privacy Code. All members and volunteers associated with this Association must sign an acknowledgement that they will comply with the requirements of the Code.
- Other persons, Associations or organizations who act for, or on behalf of, the PPAO are also required to comply with the principles and the Policy and will be given restricted access to personal information solely to perform the services provided for the PPAO.
- The Policy Statement
- It is the policy of the Police Pensioners Association of Ontario (PPAO)to respect and safeguard the privacy of all members. While the PPAO does not engage in activities of a commercial character, we are committed to protecting the privacy and confidentiality of personal information in a manner that meets or exceeds the requirements of Federal and Provincial privacy laws.
- This Policy Statement applies to the PPAOnot only as an organization but also to each individual member, prospective, or past member as a condition of membership or association with the PPAO, with respect to the Personal Information of other members.
- The PPAOonly collects personal information about members necessary to process membership, collect dues, enforce its By-laws and generally effectively provide services to the Association.
- The Privacy Compliance Officer
The Police Pensioners Association of Ontario (PPAO) has appointed the serving elected Vice President as the person/position responsible for privacy compliance in this Association. His/her name shall be made available to members. The responsibilities of the privacy compliance officer shall include:
- Establish and update information protection policies.
- Ensure policies are implemented by other Associations and/or third parties to which Information is exchanged.
- Establish criteria for classification of information.
- Evaluate the accessibility of sensitive information and take corrective action where necessary.
- Provide education to members on the importance of information protection.
- Attempt to resolve member privacy complaints to the satisfaction of the member.
- The Collection, Use and Disclosure of Personal Information
- No personal information shall be collected from a member without first obtaining consent to the collection, use and dissemination of that information.
- Expressed consent (oral or written) must always be obtained except in the following situation.
- Consent may be implied where the information is not sensitive and where it can be reasonably assumed that the individual would expect the information to be disclosed in this fashion.
- Once information is collected, it will be used and disclosed only for the purposes disclosed to the individual.
- Application forms prepared by the Association for use by members shall contain the clauses approved by the directors by which the member authorizes the collection, use and disclosure of personal information.
- Disclosure for New Purpose
- Anyone using personal information for some new purpose that extends beyond the consent already provided must obtain the express consent of the member for that use.
- Requests for information by law enforcement officials, lawyers, private investigators or other agents or subpoenas for documents issued by the court must be referred to the Board of Directors.
- Protecting Information
- Information must be protected in a manner commensurate with its sensitivity, value and criticality. This policy applies regardless of the media on which information is stored, the locations where the information is stored, the systems used to process the information, or the processes by which information is handled.
- Mail, email and faxes must be routed directly to the intended recipient.
- Information should be available to other persons in the Association only on a need-to-know basis.
- Filing cabinets designated by the Association to contain personal, including sensitive, information are to be kept secured at all times.
- All Board Directors, Volunteers and Members will keep all Association files secure.
- Accuracy of Information
- To ensure the quality of the information collected:
- Insofar as possible, personal information about members should be collected directly from the member.
- Disclaimers of accuracy should always be attached to any disclosure of information and on all Association data.
- Access to Personal Information
- Copies of the PPAO Privacy Code, this Privacy Policy and any privacy information approved by this Association is always available to the membership.
- The Privacy Compliance Officer is responsible for responding to access requests and all such requests will be referred to him or her.
- All members will co-operate fully with the privacy compliance officer in responding to requests.
- On written request and appropriate identification satisfactory to the Association, an individual will be advised of personal information about him/her retained in the Association’s records.
- Where information cannot be disclosed (for example the information contains reference to other individuals or is subject to solicitor-client privilege) the individual will be given reasons for non-disclosure.
- An individual may have appended to a record any alternative information where the office is of the view that the appended information is, in fact, correct.
- Compliance
- Failure to comply with the Privacy Policy constitutes a breach of the PPAO Privacy Code.
- Any complaints from an individual concerning the collection, use or disclosure of their personal information or concerning the individual’s ability to access their personal information must be referred to the privacy compliance officer, who will attempt to resolve the complaint to the individual’s satisfaction.
- In the event the complaint cannot be resolved internally to the member’s satisfaction, he or she will be advised of where to direct the complaint.

PPAO Private Member Forum Terms of Service
- By accessing the Police Pensioners Association of Ontario (“PPAO”), (“Association”) Members Only Forum Area, members agree to the following Terms of Service
Members agree to:
- Acknowledge that they are responsible for maintaining the confidentiality of their Members Only Area password and account information, and are fully responsible for all activities that occur under their password or account.
- Immediately notify PPAO of any unauthorized use of the Member’s password or account or any other breach of security, and
- Ensure that they exit from their account at the end of each session.
- The PPAO cannot and will not be liable for any loss or damage arising from a Member’s failure to comply with this provision.
- The PPAO Members Only Area is to be used only for purposes related to the communication of Association information and for the use by its membership under the specific sub-forums and their listed use. PPAO is not responsible for any use of the Members Only Area for other purposes or in the case where the sub-forum is provided as a courtesy and the content not warranted by the Association. Any opinions expressed on the Members Only Area are the opinions of the Member who posted the information on the Members Only Area and not the opinions of PPAO. All information, data, text, software, messages or other materials (“Content”), whether publicly posted or privately transmitted using the PPAO Members Only Area are the sole responsibility of the Member from which the Content originated. The Member, and not PPAO, is entirely responsible for all Content that the Member uploads, posts, emails or otherwise transmits via the Members Only Area. PPAO does not control the Content posted via the Members Only Area and, as such, does not guarantee the accuracy, integrity or quality of such Content. Under no circumstances will PPAO be liable in any way for any Content, including, but not limited to, for any errors or omissions in any Content, or for any loss or damage of any kind incurred as a result of the use of any Content posted, emailed or otherwise transmitted via the Members Only Area.
- Members accessing the PPAO Members Only Area agree that they will not use the Members Only Area to:
- upload, post, email or otherwise transmit any Content that is unlawful, harmful, threatening, abusive, harassing, tortious, defamatory, vulgar, obscene, libelous, invasive of another’s privacy, hateful, or racially, ethnically or otherwise objectionable;
- harm minors in any way;
- impersonate any person or entity, including, but not limited to, a forum leader, guide or host, or falsely state or otherwise misrepresent your affiliation with a person or entity;
- forge headers or otherwise manipulate identifiers in order to disguise the origin of any Content transmitted through the Members Only Area;
- upload, post, email or otherwise transmit any Content that the member does not have a right to transmit under any law or under contractual or fiduciary relationships (such as inside information, proprietary and confidential information learned or disclosed as part of employment relationships or under nondisclosure agreements);
- upload, post, email or otherwise transmit any Content that infringes any patent, trademark, trade secret, copyright or other proprietary rights (“Rights”) of any party;
- upload, post, email or otherwise transmit any unsolicited or unauthorized advertising, promotional materials, “junk mail,” “spam,” “chain letters”, “pyramid schemes,” or any other form of solicitation;
- upload, post, email or otherwise transmit any material that contains software viruses or any other computer code, files or programs designed to interrupt, destroy or limit the functionality of any computer software or hardware or telecommunications equipment;
- disrupt the normal flow of dialogue, cause a screen to “scroll” faster than other users of the Members Only Area are able to type, or otherwise act in a manner that negatively affects other Members’ ability to engage in real time exchanges;
- interfere with or disrupt the Members Only Area or servers or networks connected to the Members Only Area, or disobey any requirements, procedures, policies or regulations of networks connected to the Members Only Area;
- intentionally or unintentionally violate any applicable local, provincial, national or international law, and any regulations having the force of law;
- “stalk” or otherwise harass another user; or
- collect or store personal data about other users.
- Members acknowledge that PPAO does not pre-screen Content, but that PPAO and its designees shall have the right (but not the obligation) in their sole discretion to refuse, move or delete any Content that is available via the Members Only Area. Without limiting the foregoing, PPAO and its designees shall have the right to remove any Content that violates the terms of this “Terms of Service” agreement or is otherwise objectionable. Members agree that they must evaluate, and bear all risks associated with, the use of any Content, including any reliance on the accuracy, completeness, or usefulness of such Content.
- Members acknowledge and agree that PPAO may preserve Content and may also disclose Content if required to do so by law or in the good faith belief that such preservation or disclosure is reasonably necessary to: (a) comply with legal process; (b) enforce these Terms of Service agreement; (c) respond to claims that any Content violates the rights of third-parties; or (d) protect the rights, property, or personal safety of PPAO, its users and the public.
- Members agree not to reproduce, duplicate, copy, sell, resell or exploit for any commercial purposes, any portion of the Members Only Area, use of the Members Only Area, or access to the Members Only Area.
- PPAO reserves the right at any time and from time to time to modify or discontinue, temporarily or permanently, the Members Only Area (or any part thereof) with or without notice. PPAO shall not be liable to Members or to any third party for any modification, suspension, or discontinuance of the Service. Members agree that PPAO in its sole discretion, may terminate Member’s password, account (or any part thereof) or use of the Members Only Area, and remove and discard any Content within the Members Only Area, for any reason, including, without limitation, for lack of use or if PPAO believes that the Member has violated or acted inconsistently with the letter or spirit of these Terms of Service.
